Exporting Data
The export function is available only to authorized users. If your account includes permission to export data, an Export button appears on the right side of the blue menu bar. PVAAS district admins can grant the export permission to LEA/district users and school admins.
To export data, click Export. You will see several options:
- Data: Takes you to a page of options to select which reports you want to export.
- This Report: Takes you directly to the data format options for the report you're viewing. This option is only available if you are currently viewing a report that can be exported.
- View Files: Allows you to access the data you have requested for export. Your export files are available for two weeks. After that time they will automatically be deleted from the system.
Report Types and Data Formats
On the Data File Exporter page, you will choose from a series of options to define the export file:
Report Type: Select the type of report you would like to export. Only some report types can be exported. If you do not see a report listed here, it is not available for export.
Data Formats: You can export the data in several formats. Check the box next to the format you want. If you choose more than one format, the data will be exported into multiple files, one for each format you choose.
Reports That Can Be Exported
LEA/district, school, and teacher value-added and projection reports are available to export. Teacher composites are exported, along with the composite in a 0-3 and 0-100 scale only if the teacher composite is a 3-year composite.
Roster Verification exports are available only when all phases have closed.
Creating an Export Request
Exports only include data from the years that are available on the site for a report.
LEAs/Districts and Schools:
- Choose the schools or LEAs/districts whose data you would like to include if you have access to multiple schools or LEAs/districts
- Check the box next to each LEA/district or school you would like to include.
- Click the plus sign next to the LEA/district's name if you want to expand the view for the list of schools in an LEA/district
Tests/Subjects:
- If you have chosen to export data from value-added reports, you must choose which tests and subjects you would like to include. If you have chosen to export data from Teacher Value-Added reports, you will be able to choose the 1-Year Composite, 2-Year Composite, and 3-Year Composite. If you choose the 3-Year Composite, the exported data file will contain the converted values on the 0-100 and 0-3 scales in addition to the teachers' index values.
Projection Groups:
- If you have chosen to export student projection data, you must choose which projected assessments you would like to include. For each projected assessment you choose, the probabilities for all performance levels or benchmarks are included in the exported data file.
Retrieving Exported Files
When you submit an export request, you are taken to the Exported Files page. This page lists all of the exported files you have requested in the past two weeks. The Status column will say Processing for the file you just requested. The status does not update automatically. To see if the file is available, click Refresh List above the list.
When the Status column says Finished, you can retrieve the exported file. To retrieve, click on the file name in the first column and save the file.
The column on the far right lists the date and time that this exported file will be deleted from PVAAS. Until that time, you can return to this page to retrieve the file again if needed. To return to this page, click Export in the blue menu bar and choose View Files.
